Gym & studio management software

The operating system for gyms and studios.

Svich keeps members, memberships, payments, classes and attendance in one app — and sends the renewal reminder before the membership quietly ends.

  • No card required
  • Import your members by CSV
  • Two products, one app
Reminder sent Aarti M. — membership ends in 10 days

Built for the way gyms and studios already work — WhatsApp reminders, biometric door readers, cash and UPI at the desk, and one register for all of it.

The problem

Memberships don't get cancelled. They get forgotten.

Almost nobody walks up to the desk and says they're leaving. They just stop coming, the plan lapses, and three months later you notice the number went down. Every part of Svich is built around catching that earlier.

  1. A member's plan ended three weeks ago and nobody called.

Svich knows who expires in the next 14 days, shows you the revenue riding on it, and messages them before the date — not after.

10 days before expiry when the default reminder goes out

  2. The money is in a notebook, the members are in a spreadsheet, the classes are in a WhatsApp group.

One record per member: their plan, every payment, every check-in, their workouts, the messages you've sent and the notes your staff left.

7 tabs on a single member profile

  3. The front desk spends the day answering “when does my plan end?”

Members get their own portal. Plan, expiry date, payment schedule, receipts and their workout videos — without calling you.

Two products, one app

A gym and a studio don't need the same screens.

So they don't get them. The application is the same — the modules you start with aren't. A studio never sees a Workouts tab it doesn't want; a gym running batches switches classes on without opening a second account.

Inside the app

Four screens that carry most of the week.

Not a tour of every page — the four your team actually opens before lunch.

The morning read, in one screen

Revenue this month, active members, who expires in the next 14 days and what's outstanding — with the trend against last month, so a bad number is obvious before it becomes a bad quarter.

  • Revenue over six months
  • Expiring soon, ranked by date
  • Recent payments as they land

Core features

Everything the front desk touches, in one place.

Members, money, classes, the door and the messages that go out — one system, one record per member, nothing typed twice.

  • Members, end to end

One profile carries the plan, every payment, every check-in, assigned workouts, the messages you've sent and the follow-ups your staff logged. Block, edit or export from the same row.

  • Plans, subscriptions and payments

Memberships, PT packages and trial passes, with installments, freeze days, extensions and a ledger of every rupee or dollar collected. Import your old data and Svich suggests the plans it finds in it.

  • Reminders that collect money

Automated WhatsApp and email before a membership ends, when a payment is missed, on a birthday, after a lapse. The at-risk card shows the revenue tied to the next 30 days of expiries — and how much of it a reminder already covers.

  • Classes, packs and bookings

A week grid for the timetable, three ways to sell it, and rules that hold: a 12-hour free-cancellation window, no-shows counted as used, a 30-day book-ahead limit and a cap on open bookings.

  • Attendance and door access

Who's in the gym right now, every punch logged, busiest-hour insights, and “active but absent” — the paying members who stopped showing up. Biometric readers honour the plan, and access is removed automatically once a membership lapses past its grace period.

  • Your own front door

A public page at /g/your-gym with your photos, plans and timetable. Shareable enquiry forms for Instagram and WhatsApp. And a member portal where members see their plan, pay their dues and follow their workouts.

How it works

Four steps, one afternoon.

You don't have to move everything at once. Get your members in, turn on the reminder that pays for the software, and add the rest when you feel like it.

  1. 01

    Pick your product

Gym or studio. It decides which modules you start with — a studio never sees a Workouts tab it doesn't want.

  2. 02

    Bring your members in

Import a CSV of everyone you already have. Svich reads it and offers to create the plans it finds in your data.

  3. 03

    Switch the reminders on

Connect WhatsApp or email, preview the message, flip the toggle. There's no separate save step.

  4. 04

    Hand members the portal

Send the portal link, publish your public page, and stop being the only person who knows when a plan ends.

What you get

The point isn't the software. It's the month after.

  • Renewals stop depending on memory

The reminder goes out whether or not anyone at the desk remembered. That's the whole feature.

  • One place the money lives

Plans, subscriptions, installments, freezes, refunds and staff commissions reconcile against the same ledger.

  • Staff see their own job, nothing more

A permissions matrix per role. Untick a box and it applies immediately — no save button, no logging out.

  • Members answer their own questions

Plan, expiry, dues and receipts on their phone at 11pm, without a call to the front desk.

  • It bends to how you run things

Custom fields on the built-in forms, and custom modules for the record types Svich doesn't ship — PT sessions, nutrition plans, equipment logs.

  • Nothing is typed twice

An enquiry form becomes a lead, a lead becomes a member, a member becomes a subscription and a payment. Same record throughout.

Use cases

Four ways people run it.

Same application each time. What differs is which modules are on and who you let see them.

  • The single-location gym

Memberships, dues, walk-ins and the door on one screen. Workouts for the members who want a plan.

    • GymOS
    • Workouts
    • Door access
  • The yoga or dance studio

Batches on a timetable, class packs that top back up each month, and bookings that don't get double-sold.

    • StudioOS
    • Class packs
    • Bookings
  • A gym floor and batches together

You don't need two accounts. Switch the extra modules on and run both out of one register.

    • GymOS
    • Classes
    • One account
  • A multi-trainer PT studio

Assign members to trainers, track sessions in a custom module, and pay commissions from the same ledger.

FAQ

The questions we actually get asked.

Something not here? Write to support@svich.in — a person answers.

Is Svich for gyms or for studios?

Both. It's one application sold as two products: GymOS for full-facility gyms, which includes workout plans and door access, and StudioOS for yoga, dance, zumba and pilates, which is built around classes, packs and bookings. If you run a gym floor and batches, you don't need two accounts — the extra modules can be switched on.

Can I bring my existing members and plans across?

Yes. Import a CSV from Settings → Data & Reports → Imports. Svich also scans what you imported and offers to create the membership plans it finds in it, so you're not retyping your price list.

Do members get their own app?

They get a mobile-first member portal at /m. They sign in with their phone or email — their first password is their own phone number, which they're asked to change — and see their plan, expiry date, payment schedule, full receipt history and any workout plan you've assigned, including the exercise videos.

Will it work with our biometric door readers?

Yes, as an add-on for GymOS. You assign a device ID from a member's profile and push it to every reader, then they scan at the reader to finish enrolling. Whether a plan opens the doors at all is a setting on the plan, and access is removed from every reader automatically once a membership lapses past its grace period.

Can we send reminders on WhatsApp?

Yes. Connect WhatsApp or email under Marketing → Manage settings. Four automations ship already written: before a membership ends, when a payment is missed, on a birthday, and after someone lapses. Each has its own timing, channel and send time, and a live preview of exactly what the member receives.

Can I control what each staff member sees?

There's a permissions matrix under Settings → Security & Access — one row per page, one column per role (Manager, Trainer, Receptionist, Accountant). Tick or untick and it takes effect immediately, with no save button and no waiting for that person to sign out. Owner always has full access. Search obeys the same rules, so nobody finds a record they couldn't already open.

What if we track something Svich doesn't have a page for?

Add it. Custom fields put extra questions on the built-in Member, Plan, Subscription and Team forms. Custom modules create entirely new record types — PT sessions, nutrition plans, equipment logs, supplement sales — and their records show up on the linked member's profile. No code either way.

How do we capture leads before someone walks in?

Two ways. Your public page at /g/your-link carries your photos, the plans you choose to show, your timetable and a contact form — nothing is visible until you press Publish. And enquiry forms give you a shareable link for Instagram or a WhatsApp broadcast; every submission can be converted straight into a lead.

What does it cost?

Starter is $49/month for up to 250 active members, Growth is $149/month with unlimited members and the advanced automation rules, and Enterprise is priced per group for multi-location management. Yearly billing works out at ten months. You can start free and import your data before deciding.

Start with the renewals. The rest can wait.

Create your account, import your members, and turn on the one reminder that pays for the software. It takes an afternoon.
