Gym lead management software

Turn enquiries into members before they go cold.

Gyms lose people between "I messaged you on Instagram" and "I signed up." Svich captures the enquiry, files it in your member list as a lead, and gives it to a staff member to call. You see every lead that became a paying member, and every one that didn't.

  • Forms you can share anywhere
  • Every lead has an owner
  • Know what actually converts

A lead is a member you haven't closed yet. Svich keeps them in the same list, on the same profile, in the same follow-up queue as everyone else. There's nothing to export and no second CRM to keep in sync.

Where leads leak

The gap between an enquiry and a sale is where gyms lose money.

  • “Enquiries arrive in five places: Instagram DMs, WhatsApp, a notebook at the desk.”

One shareable form collects them all. Post the link on Instagram, your website or a WhatsApp broadcast. Every submission lands in one place, ready to become a lead in a click.

/e/ one public form link, shareable anywhere

  • “A lead came in. Nobody was sure whose job it was. Nobody called.”

Convert the response to a lead and it joins your member list with a status, a source and an owner. It raises a follow-up task on a named staff member, so "who's calling them?" has an answer.

1 owner per lead, with a task that has to close

  • “You spend on ads and flyers but can't say which one brings members.”

Every lead carries a source: the form, the referral, the walk-in. The source stays on their profile after they convert. Now you can see which channel brings paying members and which just brings calls.

Source on every member, from enquiry to renewal

One list, not two

Your leads sit in the member list, worked from one screen.

The Members page lists everyone who has ever walked in: active, lapsed and leads together. Filter to just the leads, or to new-this-month, and work them like any other list. When a lead signs up for a plan, they turn Active in place. Same profile, same history, same timeline. The call you made when they were a lead is still there the day they renew.

  • A Leads counter and a one-click filter on the member list
  • Register a walk-in as a lead in under 30 seconds
  • Convert to Active the moment they take a plan, with the whole history intact
  • Their source, assigned staff and every note travel with them

What you get

From a stranger's enquiry to a member on a plan.

Capture the enquiry, give it an owner, convert it, and measure what the channel was worth. No second system to keep in sync.

  • Shareable enquiry forms

Build a form in the field builder: name, phone, email and any custom question you want. Svich gives you a public link to post on Instagram, your website or a WhatsApp broadcast. Each form shows its field count at a glance.

  • Every response in one place

Submissions land on the form's responses page. Read them and convert any one straight into a lead on your member list. Their details carry straight over.

  • Leads in the member list

A lead is a member with a Lead status. It shows in the same list, with the same filters, so your team works leads and members from one screen instead of switching tools.

  • An owner and a task for each lead

A new enquiry becomes a lead follow-up in the Grow bucket, assigned owner-first and shared out with per-staff caps. It sits on the queue with a status that has to close: contacted, converted or lost.

  • Source tracking that survives the sale

Set a lead's source to the form, the referral or the campaign that brought them. It stays on their profile after they convert, so you can tell which channel actually produces paying members.

  • Convert without losing the history

When a lead takes a plan, they become an active member in place. The enquiry, the calls, the notes and the source all stay on one profile. The file doesn't start over the day they pay.

Where leads come from

Every way a lead reaches Svich, and what you can track.

However someone first makes contact, it ends up in the same member list with a source attached. This is every entry point. If the one you use isn't here, tell us on the call.

What Svich does not do with leads

Said plainly, so the demo call is about what fits rather than what doesn't exist.

  • It doesn't run your ads or connect to Meta Ads Manager. You post the form link yourself.
  • There's no AI lead scoring. A human decides which lead is hot. Svich makes sure someone calls it.
  • It isn't an email-sequence tool. The automated messages are retention reminders, not a cold-lead drip.
  • It doesn't buy or supply leads. It manages the ones your own marketing brings in.

Bring the way leads reach you today.

Thirty minutes, screen-shared. Tell us where your enquiries come from: the Instagram DMs, the walk-ins, the referrals. We build the form and the lead flow in the real app while you watch, assigned to your actual staff. Nothing to send us first.

  • 30 minutes, no slide deck. We open the real app and work through your questions.
  • Built around how you work now. Tell us what you're using, whether it's a spreadsheet, a notebook or another system, and we'll show you what changes and what doesn't.

How do leads get into Svich?

Four ways, all ending in the same member list. Build an enquiry form and share its public link on Instagram, your website or WhatsApp, and submissions collect on the form's responses page. Register a walk-in at the desk as a lead in under 30 seconds. Log a referral a member sends you. Or import a backlog of old enquiries as leads. Whichever way they arrive, you set a source so you can later see where your members actually came from.

Is lead management a separate product or part of the member list?

Part of the same list. A lead is a member with a Lead status, so your team works leads and members from one screen with one set of filters. There's no separate CRM to export to and reconcile. When a lead signs up for a plan, they convert to an active member in place, keeping the same profile, the same history and the same follow-up timeline.

Who follows up with a new lead?

A new enquiry becomes a lead follow-up in the Grow bucket, assigned owner-first. When there's no owner, it's shared across your chosen roles with a per-staff daily cap. It sits on the follow-up queue with a status that has to close: contacted, converted or lost. A lead is never "someone will probably call them." The follow-up management page covers how that queue works.

Can I tell which marketing actually brings members?

Yes, as far as the source you set. Every lead carries a source: a form, a referral, a campaign name, a walk-in. That source stays on the profile after they convert to a paying member. So you can judge each channel by the members it brought you, and see which one is worth the money. Svich doesn't connect to your ad accounts or attribute automatically. You set the source, and it does the counting.

What goes on an enquiry form?

Whatever you want to ask. The builder covers the basics (name, phone, email) plus any custom questions you add. Each form shows its field count on its card, and every submission lands on that form's responses page, where you convert it to a lead. Custom fields your gym uses elsewhere can be captured here too.

Does a captured lead get spammed automatically?

No. Nothing sends on its own until you switch an automation on, and the automations are retention messages: before a membership ends, when a payment is missed, on a birthday, after a lapse. They aren't a cold-lead drip. A fresh lead is contacted by a person working the follow-up queue. To message a batch of leads, you send a one-off broadcast deliberately.

What does Svich cost?

Starter is $49/month for up to 250 active members. Growth is $149/month with unlimited members and the advanced automation rules. Enterprise is priced per group. Leads don't count against your active-member limit until they convert, and there's no per-seat charge for the staff working them. Yearly billing works out at ten months.

Stop losing leads between the message and the membership.

Build one form, share the link, and give every enquiry an owner. The strangers who message you become a list your team actually works.
