Import a CSV of everyone you already have. GymOS reads it and offers to create the membership plans it finds in your data, so you are not retyping your own price list.

What does gym management software like GymOS actually replace?
The register, the members spreadsheet, the reminder you meant to send and the separate app your door readers came with. GymOS holds members, membership plans, payments and installments, attendance, workouts, staff roles and the messages that go out — as one system, so a renewal, a payment and a door permission are three views of the same record rather than three places to update.
Will it work with our biometric door readers?
Yes, as an add-on to GymOS. You assign a device ID from a member's profile and push it to every reader, then they scan once at the reader to finish enrolling. Whether a plan opens the doors at all is a setting on the plan, and access is removed from every reader automatically once a membership lapses past its grace period.
Can we send renewal reminders on WhatsApp?
Yes. Connect WhatsApp or email under Marketing → Manage settings. Four automations ship already written: before a membership ends (10 days before expiry, on by default), when a payment is missed (3 days after due), on a birthday, and after someone lapses. Each has its own timing, channel and send time, with a live preview of exactly what the member receives.
Can I bring my existing members and plans across?
Yes. Import a CSV from Settings → Data & Reports → Imports. GymOS also scans what you imported and offers to create the membership plans it finds in it, so your price list comes across with the members rather than being retyped afterwards.
Is GymOS suitable for a small gym?
Starter covers up to 250 active members at $49/month, which is where most single-location gyms sit. Nothing is hidden behind a bigger tier that a small gym needs day to day — the member portal, your public page and enquiry forms are on every plan. You can start free and import your data before deciding.
Do members get their own app?
They get a mobile-first member portal at /m. They sign in with their phone or email — their first password is their own phone number, which they are asked to change — and see their plan, expiry date, payment schedule, full receipt history and any workout plan you have assigned, including the exercise videos.
Can I control what each staff member sees?
There is a permissions matrix under Settings → Security & Access: one row per page, one column per role (Manager, Trainer, Receptionist, Accountant). Tick or untick and it takes effect immediately, with no save button and no waiting for that person to sign out. Owner always has full access, and search obeys the same rules, so nobody finds a record they could not already open.
What does GymOS cost?
Starter is $49/month for up to 250 active members, Growth is $149/month with unlimited members and the advanced automation rules, and Enterprise is priced per group for multi-location management. Yearly billing works out at ten months. Prices are per gym, not per staff member.
