Connect your number, read the message, switch it on.

You paste two credentials from your Meta Business account. Svich asks Meta whose number that is and shows you the verified business name it got back, so a wrong paste is caught before it silently fails at 10am. Then you read the exact message a member will receive — with a real name and a real expiry date filled in — and flip the toggle. There is no separate save step.

  • Sent on WhatsApp, from your own number

    Through the official WhatsApp Cloud API. Members see your verified business name, replies come back to your staff, and your sending reputation is yours rather than shared with every other gym on the platform.

  • Triggered by the member's own dates

    Days before a membership ends, days after a payment falls due, on a birthday, days after someone lapsed. You set the number of days and the hour it goes out. Svich checks every member against it.

  • Pre-approved templates, so they are not treated as spam

    A reminder is sent outside WhatsApp's 24-hour reply window, and Meta only accepts registered template messages there. Svich ships the templates already registered in the UTILITY category, which is the category these belong to — not marketing.

  • Email as the fallback, not the plan

    Every reminder exists in an email version too. Use it while your WhatsApp number is going through Meta approval, or for the members who prefer it. The rule is the same; only the channel changes.

  • The At-risk card, so you can see it working

    The revenue attached to every membership ending in the next 30 days, and how much of it a reminder already covers. It is the one number that tells you whether the automation is doing its job.

  • Broadcasts, when you want to say something once

    Separate from the automations: pick a filtered group of members — lapsed, ending soon, a particular plan — and send a one-off message. Every send is recorded against the member it went to.

What it will not do

WhatsApp is a channel with rules, and a tool that ignores them gets your number banned rather than your members reminded. Svich follows them, which means some things are deliberately not possible.

Does Svich send gym renewal reminders on WhatsApp?

Yes. Svich sends renewal reminders, missed-payment reminders, birthday messages and win-back messages on WhatsApp, from your own WhatsApp Business number, through Meta's official Cloud API. The suggested renewal reminder goes out 7 days before a membership ends at 10:00am, and the missed-payment reminder 3 days after the due date at 11:00am. You can change the days, the hour and the channel on every rule, and each one starts switched off until you enable it.

Do I need my own WhatsApp Business number?

It is strongly recommended and it is what most gyms do. Your own number means your verified business name on the message, replies that reach your staff, and a sending quality rating that belongs to you. If you have not set one up yet, Svich can fall back to a shared platform sender so you are not blocked on Meta's approval — but on a shared number one gym's blocks affect everyone using it, so move to your own when you can.

Will these messages get my number banned?

Not if they are sent the way Svich sends them. A reminder goes out long after any conversation, which puts it outside WhatsApp's 24-hour service window, and Meta only accepts pre-registered template messages there. Svich ships those templates already registered in the UTILITY category, which is what a renewal notice actually is. What gets numbers banned is free-text bulk sending through a browser extension driving WhatsApp Web — Svich does not do that and cannot be made to.

Can I see the message before it goes to a member?

Yes, and you have to. Each rule shows a live preview with real member data filled in — the gym name, the member's name, the plan name and the actual expiry date — so you read the exact message that will arrive rather than a template full of placeholders. Nothing sends until you have switched that rule on.

What happens while Meta is still approving my number?

Run the same rules on email. Every reminder ships in both a WhatsApp and an email version with the same content, so the automation works from day one and you switch the channel over once your number is live. Changing the channel does not mean rebuilding the rule.

Can I send a one-off message to a group of members?

Yes, and that is separate from the automations. Filter your members — everyone lapsed, everyone ending soon, everyone on a particular plan — and send a broadcast. Every send is logged against the member it went to, so their profile shows the full history of what you have sent them.

Does it cost extra to send on WhatsApp?

Svich does not charge per message. Meta does — WhatsApp Business API conversations are billed by Meta directly to the account behind your number, at rates they set and change. That bill is between you and Meta. We will walk you through what to expect on the demo call rather than pretending the cost is zero.
