Dance studio software

Run the whole term without a spreadsheet.

StudioOS runs the timetable, enrolments, attendance and renewal reminders for your dance studio. Every style and level its own class. Every payment on one record. Rehearsals included.

  • No card required
  • Import your students by CSV
  • Running the same afternoon

What it changes

What changes in your first term.

Three things that stop being your job.

  • Re-enrolment gets chased automatically.

Every family whose term is running out sits on a list with the revenue attached. The reminder goes out on WhatsApp or email before the date, without anyone at the desk remembering to send it.

10 days before expiry when the default reminder goes out

  • Each class is priced on its own.

A class is priced, capped and counted by itself. Charge differently for the competition team, cap the small studio at twelve, and put a discount on a second class without unpicking anything else.

3 ways to price a class the whole term, a pack of classes, or per session

  • Families answer their own questions.

They look up their plan, expiry date, payment schedule and receipts on their phone instead of asking at the desk. What is left is one list with every dancer, every balance and every trial enquiry on it.

The timetable

Every style and level is its own class.

Not one timetable with a note in the name — Ballet Grade 2 and Hip-hop Juniors are separate classes, each with its own teacher, studio, capacity and price. That is what lets you see which classes are full and which are not paying for the room they use. And because a class holds a list of weekday-and-time slots rather than one time, the Saturday session can start at nine while the weekday sessions start at four, without splitting it in two.

  • A teacher, a studio and a cap on every class
  • Different start times on different days, in one class
  • Sunday's rehearsal is a one-off, not part of the weekly recurrence

Inside the app

Four screens. Here is what each one does for you.

Not a tour of every page — the four your front desk opens before the first class of the day.

Classes

Set up a class once. It repeats itself.

Pick the times on a week grid. Anything already in that studio shows in grey, so you cannot double-book a room. Set the cap, choose how the class is sold, and the plan attaches to it.

  • One class holds several weekday-and-time slots
  • A capacity per class, and per session for a rehearsal
  • Sold by the term, by a pack of classes, or per session

What it saves you You stop rebuilding the timetable every term, and you stop finding out about a room clash on the day.

Students

See who has paid and who has not.

Every dancer, every trial enquiry and every family who left last spring, in one list. Filter it the way you actually think about it on a Monday morning.

  • Ending soon, owe money, lapsed, gone quiet, new this month
  • Days left on the enrolment, in the row, without opening it
  • A new student takes under 30 seconds to add

What it saves you You stop keeping a separate spreadsheet of who owes you money. It is a filter on the list you already have.

Reminders

Reminders go out before a term ends. Automatically.

Four automations ship already written. Switch one on and it runs — before a term ends, when a payment is missed, on a birthday, and after a family stops coming. You see the message before you turn it on, and you can change every word.

  • WhatsApp and email, each with its own timing and send time
  • A live preview of exactly what the family receives
  • The revenue riding on the next 30 days, and how much is covered

What it saves you Re-enrolment stops depending on someone at the desk remembering. Switch this on first — it is the part that pays for the subscription.

Dashboard

Open one screen and know where the month is.

What you collected this month against last, how many students are active, whose term runs out in the next fortnight, and what is still outstanding.

  • Six months of collections, so a bad month shows up early
  • Expiring soon, ranked by date, with the revenue attached
  • Recent payments as they land

What it saves you You find out about a slow term while you can still do something about it, not at the end of it.

Built for how dance studios run

Five things generic gym software gets wrong.

All five are the ordinary week of a studio that teaches children. Each one, left as a workaround, is either money you do not collect or an afternoon you do not get back.

  1. 01

Grade 2 ballet and junior hip-hop are not the same class.

Each style and level is its own class, with its own instructor, studio, capacity and linked plan. They sit on one grid so you can see the week, and clashes show in grey before you can create one — but the registers, the caps and the prices stay separate. One cap per class so a full room reads as full, not as a guess

  2. 02

One dancer takes three classes; one family has three dancers.

A student can hold several enrolments at once, each on its own plan, and every payment across all of them lands on one member record with one payment history. A discount percentage on any enrolment covers a second-class or second-child rate, and prints on the receipt as its own line. 0–100% per enrolment the discount, shown as its own line on the receipt

  3. 03

She joined six weeks into a twelve-week term.

An enrolment carries its own start and end date, so a student who arrives mid-term is billed to the end of that term rather than for a fresh twelve weeks. Trial students and recital-only dancers go on their own short plan without touching your term billing. Any start, any end so a mid-term joiner never resets your calendar

  4. 04

The recital rehearsal isn't on the weekly timetable.

Add it as a one-off session on the day it happens. It sits outside the recurrence, takes its own capacity — the whole school in one hall, in a studio whose regular classes cap at sixteen — and carries its own notes. The classes either side of it are untouched. Its own capacity a 60-place rehearsal in a studio that caps at 16

  5. 05

The term ended and half the class didn't come back.

StudioOS knows whose term ends in the next fortnight and what revenue is riding on it, and messages the family on WhatsApp or email before the date — so a family re-enrols before the gap, not two weeks after their daughter stopped showing up. 14 days of expiries on the dashboard, with the revenue attached

Pricing your classes

Three ways to price a class.

Set per plan and mixed freely across one student list. A termly regular, a ten-week beginner and a drop-in can all be in Thursday's Grade 2, and none of them is a special case at the desk.

Everything included

The whole term

Every session of their class for as long as the term runs. Nothing is counted; the end date is the limit, and the renewal reminder goes out before it.

Termly and annual students

A pack of classes

A set number

Ten classes, twenty, whatever you sell. Choose whether the count tops back up each month or is a fixed total for a course that ends — and generate the course by count, so ten means ten.

Beginners' courses and casual dancers

Nothing upfront

Pay each class

The family pays per session. Useful for trial classes, visiting dancers and the parent who wants one hip-hop class before committing to a term.

Trials and drop-ins

What you get

Everything a dance studio needs, in one place.

Seven things, one login, one student list, one bill. Nothing here is an add-on you discover the price of after moving your data across.

What a dance studio gets with StudioOS, and what each part covers
WhatHowWhat it covers
Class scheduling Week grid Recurring weekly classes by style and level, a teacher and studio on each, capacity per room, and one-off sessions for rehearsals and workshops.
Enrolment & billing Per class or term Sell a class outright, a term, or a pack of sessions. Enrolments start and end on their own dates, and a discount percentage applies per enrolment.
Attendance Per session Every session has its own register. Mark a dancer attended or absent, and the booking records whether it spent a class from their pack.
Renewal reminders WhatsApp + email Automated before a term or plan ends, when a payment is missed, on a birthday, and after a family lapses. Preview the message before you switch it on.
Family portal On their phone Each enrolled student gets a mobile-first login showing their plan, its expiry date, the payment schedule and every receipt — so the desk stops answering it.
Enquiries & follow-ups Trial to enrolment Shareable enquiry forms for Instagram and WhatsApp, a public page with your timetable, and follow-ups tracked from a trial class through to a place in the class.
Reporting The morning read Revenue this month against last, active students, who expires in the next fortnight and what is outstanding — plus the students who are paying and have quietly stopped coming.

Why studios pick this over general studio software.

Most tools sold to studios are built broadly enough to cover yoga, pilates and dance at once, so a dance studio's particulars end up as workarounds. These are the ones that matter, and none of them is a workaround here:

  • A class per style and level
  • Different times on different days
  • One-off rehearsals and workshops
  • Enrolments that start mid-term
  • Several classes per student
  • A discount line on the receipt
  • A register for every session
  • Reminders before the term ends

FAQ

Common questions.

Something not here? Write to support@svich.in — a person answers.

Does Svich handle sibling or family discounts?

Not as a single family account — each dancer is their own student record, and there is no combined family invoice. What there is: a discount percentage on any enrolment, from nothing to a hundred, applied when you enrol them and printed on the receipt as its own line. That is how studios run a second-child or second-class rate here. A student taking three classes holds three enrolments, and all three appear on one member record with one payment history, so what a family owes is still one screen rather than three.

Can parents see their child's class schedule and payment history?

They see the money side. Every enrolled student gets a mobile-first portal login showing their plan, its expiry date, the full payment schedule and every receipt, which is what takes the “what have we paid and when does it end?” questions off the front desk. It does not show a class timetable — your published timetable lives on your public studio page, which anyone can look at without logging in.

Can I run recital or trial-class enrolment separately from regular term billing?

Yes. A rehearsal or a recital-only session goes on the schedule as a one-off outside the weekly recurrence, with its own capacity and its own notes, so it does not disturb the classes around it. And because every enrolment carries its own start and end date and its own plan, a trial student or a recital-only dancer can be put on a short plan of their own rather than pushed through your standard term billing.

Does attendance work from a tablet at the studio entrance?

Every session has its own register, and staff mark each dancer attended or absent as they arrive — there is no separate sign-in sheet and nothing to re-enter afterwards. Each booking also records whether it actually spent a class from a pack, so what a student has used stays accurate without anyone reconciling it by hand. StudioOS runs in the browser, so the register opens on whatever is at the desk — a laptop, or a tablet by the door.

Is there a setup fee or contract?

No. Starter is $49/month for up to 250 active students and Growth is $149/month with unlimited students and the advanced automation rules, both month to month with no setup fee. Yearly works out at ten months. Import your existing students and classes from a CSV — StudioOS reads the file and offers to create the plans it finds in it — so you can be running the same day, and you can start free before deciding.
