Gym management software for a Singapore gym needs to do four things well: track memberships and package credits, fit the way members pay (PayNow, cards and GIRO), send renewal reminders on WhatsApp, and keep invoices tidy for when you cross the GST threshold. This guide covers what to compare, what Singapore owners usually get wrong, and an honest look at where Svich fits and where a local platform may suit you better.
Renewals living in a WhatsApp chat and an Excel file? GymOS by Svich puts members, plans, dues and reminders in one place, at one flat price per gym. See GymOS.
#What should gym management software do for a Singapore gym?
At minimum: one record per member, plans that match how you sell (monthly, multi-month, PT packages, trial passes), reminders before memberships end, and a clear list of who owes money. Everything else is a bonus.
Singapore gyms tend to be small and dense. A typical independent gym in Tampines or Jurong East might run 150 to 300 members on a lease that leaves little room for error, so the owner cares about two numbers above all: how many memberships end this month, and how many of them will renew. Software that answers those two questions in one screen earns its fee.
Look for these in particular:
- Freezes and extensions for members travelling over Chinese New Year or the June holidays, with end dates that move automatically.
- Instalments for 6- and 12-month plans paid in parts.
- A lapsed and “gone quiet” list of members who still pay but have stopped checking in.
- Staff permissions, so a part-time coach doesn’t see your revenue.
- Check-in history and busiest-hour data, useful when you’re deciding whether to extend opening hours. Our gym check-in system guide compares the options.
#Which payment methods do Singapore members expect?
PayNow is the default for most local members, cards are common, and GIRO is the traditional rail for recurring payments. Ask any vendor exactly which of these it supports and whether the support is one-off or recurring.
PayNow QR is the dominant person-to-person payment method in Singapore, with almost every adult who has a local bank account able to use it, according to HitPay’s guide for trainers. Recurring payments are a different matter: Razorpay describes GIRO as the established rail for recurring payments in its overview of Singapore payment rails. Local booking platforms such as vibefam and Rezerv advertise PayNow integration, which matters if you want members to pay online.
To be clear about Svich: GymOS records cash, card and UPI payments at the desk, keeps a full payment ledger and sends invoices automatically. PayNow, GIRO and automatic debit are not listed features. Many small gyms already collect via their bank’s PayNow QR and just need to record who paid; ask in the demo how you’d log that against each member.
#Do Singapore gyms have to charge GST on memberships?
Only once you’re GST-registered. Registration is compulsory when taxable turnover exceeds S$1 million in a year (or is expected to), and the standard rate has been 9% since 1 January 2024.
Both facts are summarised in HitPay’s Singapore GST guide, which draws on IRAS. Do the maths for your own gym: 220 members paying an average of S$140 a month comes to 220 × S$140 × 12 = S$369,600 a year, well under the threshold. A gym with a strong PT business and 400-plus members can get closer than the owner thinks, so track turnover monthly rather than discovering it at year end. This isn’t tax advice; speak to your accountant.
#What about PDPA and member data?
The Personal Data Protection Act applies to the member data you collect, so collect only what you need, explain why, and limit who can see it. The software side of that is mostly about access control.
Practically: don’t keep NRIC numbers unless you truly need them, store emergency contacts in the member record rather than on paper forms at reception, and make sure trainers can’t export the full member list. In GymOS, the permissions matrix (Settings → Security & Access) has Owner, Manager, Trainer, Receptionist and Accountant roles, and search respects those permissions. Svich doesn’t list PDPA certification or Singapore data hosting, so if either is a requirement for you, ask before you sign up.
#How do WhatsApp renewal reminders work for a 220-member gym?
You set when each reminder goes and on which channel, preview the message once, and the system sends it for every member who meets the rule. The owner stops being the reminder.
Illustrative numbers. Reminder timings are GymOS defaults; each can be changed.
GymOS includes four prebuilt automations: before membership ends, missed payment, birthday and after lapse, each with its own channel, send time and live preview. WhatsApp goes from your gym’s own number, which matters in Singapore, where members ignore messages from numbers they don’t recognise. The revenue-at-risk card shows the figure above for your own gym. Start free and switch on reminders.
A message that suits a Singapore member:
“Hi Wei Ling, Daniel here from Forge Fitness. Your 3-month plan ends on 30 Nov. You’ve been coming in for the 7am session almost every weekday, so I’d hate for that to stop. Shall I renew you on the same plan? Just reply YES and I’ll send the details.”
More timing and wording ideas are in our renewal message guide.
#How much does gym management software cost in Singapore?
Expect anywhere from a free tier to a few hundred Singapore dollars a month, depending on member count and whether payments are built in. Compare the yearly total, including payment fees and add-ons.
| Type | Typical pricing (as of November 2026) | Good fit when |
|---|---|---|
| Local booking platforms (e.g. vibefam, Rezerv) | On request or tiered; check the vendor | Members book and pay online with PayNow |
| Global per-member platforms (e.g. Gymdesk) | US$75 to US$200 a month by active-member tier | You want card auto-billing and an app included |
| Svich GymOS | US$49 a month up to 250 active members; US$149 unlimited | Payments taken at the desk; you want reminders, dues and renewals in one place |
Svich bills in US dollars, per gym rather than per staff seat, and yearly plans cost the same as 10 months (US$490 or US$1,490). Gymdesk’s tiers are from Gymdesk’s published pricing. For a neighbouring market comparison, see our gym management software NZ guide.
#When is Svich not the right fit for a Singapore gym?
Svich suits owner-run gyms that take payments at the desk and want renewals handled properly. Look elsewhere if:
- Members must pay online by PayNow or GIRO, automatically. That isn’t a listed feature; a local platform with PayNow integration will serve you better.
- You need a branded app in the App Store. Svich members use a mobile web portal showing their plan, expiry, payment schedule, receipts and workouts.
- You run several outlets. Multi-location is on the custom Enterprise plan.
- You need Singapore data hosting or PDPA certification in writing. Neither is listed, so ask first.
Boutique studios mainly running reformer or yoga classes may find StudioOS a closer fit; our Pilates studio software Singapore guide covers that side.
#Frequently asked questions
#What is the best gym management software in Singapore?
It depends on how your members pay. If they need to book and pay online by PayNow, a local platform with PayNow integration fits best. If payments are taken at the desk and you mainly need renewals, dues and reminders handled, a flat-priced tool such as Svich GymOS can be enough.
#Do I need to charge GST on gym memberships in Singapore?
Only if you are GST-registered. Registration is compulsory when taxable turnover exceeds S$1 million, and the standard GST rate has been 9% since 1 January 2024.
#Does Svich support PayNow?
PayNow is not listed as a Svich feature. GymOS records cash, card and UPI payments at the desk and sends invoices automatically; ask in a demo how you would record PayNow transfers.
#How much does Svich cost for a Singapore gym?
Svich is billed in US dollars per gym: US$49 a month for up to 250 active members or US$149 a month for unlimited members, and it is free to start with no card required.
#Can I send gym renewal reminders on WhatsApp in Singapore?
Yes. Svich GymOS sends WhatsApp reminders from the gym’s own number, for example 3 days after a missed payment and 14 days after a membership lapses, with timings you can change.
