No-show policy for fitness classes: default booking rules

Short on time? Summarise it with

A no-show policy for fitness classes sets out what happens when a client books a spot and doesn’t turn up, or cancels too late for anyone else to take it. The version that works for most studios is simple: free cancellation up to 12 hours before class, late cancels and no-shows count as a class used for pack holders, and a small fee or a strike system for unlimited members. Below you’ll find a copyable policy, the wording to announce it, and the numbers to help you pick your own rules.

Tired of enforcing your cancellation rules by hand? StudioOS by Svich applies the cancellation window, counts no-shows against packs and caps open bookings automatically. See how class booking rules work in StudioOS.

#What should a no-show policy for fitness classes include?

Six things: the cancellation window, what a late cancel costs, what a no-show costs, how exceptions work, how far ahead people can book, and how many bookings one person can hold. Leave one out and your front desk ends up inventing the rule on the spot, which is where the arguments start.

  1. The free-cancellation window, in hours before class start.
  2. The late-cancel consequence: class deducted, fee, or both.
  3. The no-show consequence, which can be the same as a late cancel or slightly stricter.
  4. Exceptions: who decides, and whether there is one free pass.
  5. The book-ahead limit, so nobody reserves every Tuesday 6pm for two months.
  6. The open-booking cap, the number of future classes one person can hold at once.

#What cancellation window should a fitness studio use?

Twelve hours is a common window for small-group classes, and it is the window ClassPass uses for most reservations on its platform (ClassPass help centre, October 2026). Clients who use ClassPass already know it, which makes 12 hours easy to explain. Adjust it by class size and how quickly you can refill a spot.

Class type Suggested window Why
Reformer pilates, barre or any class capped at 8–15 12–24 hours Every empty spot is a big share of the room
Early-morning classes (before 8am) By 8pm the night before Nobody books a 6am spot at 4am
Larger HIIT, spin or dance classes (20+) 4–6 hours Easier to refill, lower cost per empty spot
Private or semi-private sessions 24 hours The instructor’s hour is booked and paid
Workshops and courses 48 hours to 7 days Fixed numbers, often with prep

One mistake to avoid: different windows for every class type. Two windows at most (for example 12 hours for classes, 24 for privates) is about as much as clients will remember.

#Should you charge a no-show fee or deduct a class?

Deduct a class for pack holders and use a fee or strike system for unlimited members. A deduction already costs a pack holder something real. An unlimited member loses nothing when a class is “used”, so for them you need a different consequence.

Client type Late cancel No-show
Class pack or credit holder Class deducted Class deducted
Unlimited member Warning, then a small fee from the 2nd in a month Small fee, or a 48-hour booking pause after the 3rd in a month
Intro offer client One free pass, then class deducted Class deducted, plus a personal check-in
Drop-in Credit kept if cancelled in the window Payment kept

How big should a fee be? Enough to sting, not enough to start a fight. For reference, ClassPass lists US$10 to US$56 for a late cancel fee and US$12 to US$62 for a missed reservation, before tax, depending on the studio (same ClassPass help article, October 2026). For an independent studio, somewhere between a third and half of your drop-in price is a fair range. Check that any fee is allowed under your local consumer rules and is written into your terms before you charge it.

#A no-show and late cancellation policy template you can copy

Paste this into your booking page, your welcome email and your terms, then change the numbers in brackets.

● Policy template
Booking and cancellation policy
  1. You can cancel free of charge up to [12] hours before class starts. For classes before 8am, cancel by [8pm] the night before.
  2. Cancelling after that, or not turning up, counts as a class used from your pack.
  3. Unlimited members: the first late cancel or no-show in a calendar month is free. After that, each one costs [$10].
  4. You can book up to [30] days ahead and hold up to [3] future bookings at a time.
  5. Running late? Message us. We hold your spot until [5] minutes after start.
  6. Illness or an emergency? Tell us and we’ll review it. We’re human about this.

The last line matters more than it looks. It tells clients the policy exists to protect the class, not to catch them out, and it gives your staff permission to use judgement.

#How do you announce a new no-show policy without upsetting members?

Give two to three weeks’ notice, explain the reason in one sentence, and lead with the benefit to the people who do show up. Send it on the channel your members actually read.

A WhatsApp message that works:

● Announcement, sent 3 weeks ahead
Hi Leah, it’s Mia from Studio North. Our 6pm classes keep turning people away while 2–3 spots sit empty from no-shows. From 1 November, please cancel at least 12 hours before class so someone else can take your spot. Late cancels and no-shows will use a class from your pack. Full details are on our booking page, and you can reply here with any questions.

Illustrative names. One reason, one rule, one date.

Then remind people at the moment it matters. A line in the booking confirmation (“Free cancellation until 6am tomorrow”) prevents more late cancels than any policy page.

#How much do no-shows really cost a studio?

More than most owners think, because the cost only shows up in full classes. An empty spot in a half-full class costs nothing. An empty spot in a class with people turned away is lost revenue.

● Illustrative: 12-bed reformer studio
Full classes per week
10
With people turned away
No-shows per full class
1.5
At $30 average value per spot
Lost each month
~$1,950
15 spots × $30 × 4.33 weeks

Example figures. Count only classes that turned people away.

To run this for your studio, take one month of attendance, list the classes that hit capacity, and count the booked-but-absent spots in those classes only. That number, not your overall no-show rate, tells you how strict to be.

#Which mistakes make no-show policies fail?

The biggest one is having a policy and not enforcing it. Clients learn within a month whether the rule is real.

  • Enforcing it for some clients and not others. Regulars notice when the owner’s friend gets a pass every week.
  • Charging fees by hand at the end of the month. A fee that turns up three weeks later feels like an ambush.
  • No reminder before the window closes. Most late cancels are forgetfulness, not bad faith. Put the cut-off time in every booking confirmation.
  • Not marking attendance. If instructors skip the register, you have no record to enforce anything with.
  • Punishing a new client on visit two. Give intro clients one free pass and a friendly message instead.

#How does StudioOS enforce a no-show policy?

StudioOS turns the main rules of this policy into settings that apply to every member the same way. The defaults match the core of the template (points 1, 2 and 4):

  • Free-cancellation window: 12 hours. Cancelling before it frees the spot for someone else. Cancelling after it counts the booking as used.
  • No-shows: counted as used by default, through a per-plan rule called “No-shows count as used”.
  • Book-ahead limit: 30 days, and an open-booking cap of 3 per member.
  • Capacity per class, with bookings closing automatically when the class is full.
  • Attendance: instructors with the Trainer role open the session, click Mark done and tick ✓ or ✕ beside each booking.

The early-morning cut-off, the free monthly pass, fees and the late-arrival hold stay house rules your staff apply. Unlimited, class-pack and pay-per-visit plans all follow the same booking rules. StudioOS does not charge no-show fees automatically and has no waitlist, so record any fee as a payment on the member’s profile, where their attendance history backs it up. Setup steps are in the StudioOS calendar and bookings guide, and pack setup is covered on the class packs page. For the wider picture on booking rules, read our class booking software guide.

#Frequently asked questions

#What is a fair no-show policy for fitness classes?

A fair policy gives free cancellation up to 12 hours before class, deducts a class from pack holders for late cancels and no-shows, and uses a small fee or strike system for unlimited members. It should also allow exceptions for illness or emergencies.

#How many hours’ notice should a fitness class cancellation policy require?

Twelve hours suits most small-group classes and matches the window ClassPass uses for most reservations. Use 12 to 24 hours for small capped classes and privates, the evening before for early-morning classes, and 4 to 6 hours for large classes that refill easily.

#How much should a studio charge as a no-show or late cancel fee?

A common range is a third to half of your drop-in price. ClassPass lists US$10 to US$56 for late cancels and US$12 to US$62 for missed reservations, before tax, depending on the studio. Check local consumer rules and put the fee in your terms first.

#Should unlimited members pay a no-show fee?

Usually yes, after a free first one each month, because deducting a class costs an unlimited member nothing. A small fee or a short booking pause after repeated no-shows are the two most common options.

#Can StudioOS enforce late cancellation rules automatically?

Yes. StudioOS applies a free-cancellation window (12 hours by default), counts late cancels and no-shows as used, limits booking to 30 days ahead and caps open bookings at 3 per member. It does not charge fees automatically.
