The last three are the ones to ask every vendor about.

Reminders and biometrics every shortlist will claim, and most will deliver, so they will not tell you much. A follow-up queue that assigns work fairly across your staff, an exercise library with the demonstration videos already in it, and a progress card your members share with your gym's name on it are a different question — ask for each one to be shown to you live, on any software you are considering, this one included. What you should not accept from anybody, us included, is a feature described rather than demonstrated.

The reminder goes out on WhatsApp. You do not send it.

Indian members read WhatsApp and ignore email, so that is where the reminders go. Four reminders ship already written. Connect your own WhatsApp Business number, read the message it will send, flip the toggle. There is no separate save step. The At-risk card then keeps score: the revenue tied to memberships ending in the next 30 days, and how much of it a reminder already covers.

What is Svich?

Svich is gym management software built in India, for Indian gyms, fitness studios and small chains. It brings membership management, billing and GSTIN invoicing, attendance, WhatsApp renewal automation, biometric door access on eSSL and ZKTeco readers, staff follow-up tasks, workout plans with a bundled video library, and a member portal into one system. It is sold as two products from one application: GymOS for full-facility gyms, and StudioOS for class-led studios running yoga, dance, pilates or zumba.

What is the best gym management software in India?

There is no single answer, and any vendor who gives you one is selling. What the right software is depends on what you actually run: a single-location gym replacing a receipt book needs billing, renewals and a member list; a gym with an eSSL reader on the wall needs the door and the membership to be one system; a studio selling class packs needs a timetable and booking rules. Rupee billing, GST fields and an Indian phone number are table stakes — assume everyone has them. What is actually worth comparing is a shorter list: the official WhatsApp Business API rather than a browser extension, biometric check-in that keeps working when the internet drops, someone in India to call, follow-ups that land on a named staff member with a status, workout plans your trainers will actually use, and whether members get anything they would voluntarily share. Svich does all six; ask every vendor on your shortlist to demonstrate each one live rather than describe it.

How much does gym management software cost in India?

Single-location gym software in India generally runs from around ₹1,000 to ₹2,500 a month, with annual deals bringing the effective monthly cost down, and multi-chain or enterprise products priced on request. Svich is $49/month for Starter, up to 250 active members, and $149/month for Growth with unlimited members. We are not the cheapest option in the market and would rather say so plainly than have you find out by comparing: what the price buys is the renewal automation, the follow-up queue, the door integration and the workout library in one system instead of three. Is gym management software worth it for a small gym?

It depends on one number: how much revenue walks out because a membership ended and nobody called. At 200 members with a ₹1,500 monthly plan, five unnoticed lapses a month is ₹90,000 a year. Software that costs less than that and stops most of it pays for itself; software that only stores your member list does not. If you are running under about 80 members and you genuinely do call every expiring member, a spreadsheet is honestly fine for now — come back when the list gets long enough that you stop.

Can I manage multiple gym branches in Svich?

Not as separate branches under one account, no. Svich today is built around a single location — one member list, one set of books, one register — and there is no branch-level split of members, staff or reporting. Groups running more than one location do run more than one account, which works but is not the same thing as centralised branch reporting, and we would rather tell you that now than on a call. If multi-branch is the reason you are switching, ask us where it is before you commit.

Do the renewal reminders really go out on WhatsApp?

Yes. Connect your WhatsApp Business number under Marketing → Manage settings and four reminders are ready to run: 7 days before a membership ends, 3 days after a payment is missed, on a birthday, and 30 days after someone lapses. Each has its own timing, channel and send time, with a live preview of exactly what the member will receive. All four start switched off — nothing is sent to your members until you turn it on. Because these are sent outside WhatsApp's 24-hour reply window, they go as pre-approved template messages — which is what stops them being treated as spam. If you have not connected a number yet, the same reminders go out by email in the meantime.

Will it work with our eSSL or ZKTeco fingerprint machine?

Yes, if the device speaks the eSSL/ZKTeco push protocol — most of the networked models do. You add the device by its serial number, assign a device ID from a member's profile, and the member scans once at the reader to finish enrolling. The reader dials out to Svich rather than being dialled into, so it works on ordinary broadband with no static IP and nothing left running on a PC at the gym. Door access is an add-on module for GymOS.

Can we take UPI payments?

You can record them. Every payment is logged with the method it came in by — cash, card, UPI or bank transfer — so the ledger and your reports match what actually happened at the counter, and you can see how much of the month arrived as cash. Svich does not currently collect the money itself through a payment gateway, so a member pays you the way they already do and the desk records it.

Are the invoices GST-ready?

Half of it. Your GSTIN, business address and logo print on every invoice, numbered with your own prefix and a running series in order, in one of three templates, and Svich can send it automatically the moment a member is enrolled. What it does not do is compute the CGST/SGST split — the tax identity is on the document, the tax working is not done for you. For most single-location gyms that is enough to hand to an accountant. If your filing needs the split itemised, it is not, and you should know that now rather than in month two.

We are on Excel. How hard is it to move?

You do it yourself, in your own account, in about an afternoon. Import a CSV or Excel export from Settings → Data & Reports → Imports, and Svich scans what you imported and offers to create the membership plans it finds in it — so your price list comes across with your members rather than being retyped. We will walk you through exactly what the importer expects on the demo call, using our sample file rather than yours. Your member list stays yours until you decide.

Can I stop my receptionist from seeing revenue?

Yes. There is a permissions matrix under Settings → Security & Access — one row per page, one column per role: Manager, Trainer, Receptionist, Accountant. Tick or untick and it takes effect immediately, with no save button and no waiting for that person to sign out. Search obeys the same rules, so nobody finds a record they could not already open. Owner always has full access.

What does it cost?

Starter is $49/month for up to 250 active members, Growth is $149/month with unlimited members and the advanced automation rules, and Enterprise is priced per group. Yearly billing works out at ten months. What you charge your own members is entirely separate and entirely yours. Can I just call someone?

Yes. The phone number and WhatsApp link at the top of this page reach a person, and WhatsApp is usually the faster of the two. The demo form exists for people who would rather write it down, not because we are trying to route you into a funnel first.

Is Svich actually an Indian product, or a foreign one with a rupee setting?

It is built and run in India. Rupees are the default currency rather than a dropdown, Asia/Kolkata is the default timezone, a new door reader is set to +5:30 by Svich during its first handshake, and the messaging channel that ships switched on is WhatsApp rather than email. The one place the dollar shows up is our own subscription price — that is billed in USD, and the approximate rupee figure is in the pricing section above rather than left for you to calculate.

Does it work for a gym that also runs yoga or zumba batches?

Yes, and you do not need a second account. GymOS ships with members, memberships, payments, attendance, workouts and door access; switch the classes module on and the batches run out of the same member list and the same books. If you run only classes and no gym floor, StudioOS is the version shaped for that.
