Gym management software in Ireland should do four things for a small gym. It should show who is active and who owes money, collect membership payments in euro, remind members before they lapse, and keep member data the way the Data Protection Commission expects. If you can’t answer “who owes me money?” in ten seconds, fix that first. Most results for this search are software directories with dollar prices and nothing about VAT, SEPA or GDPR. This guide covers the Irish details, a worked example for a 220-member gym in Galway, and a test-week checklist.

Still running the gym from a spreadsheet and a notebook at the desk? Svich GymOS keeps members, plans, payments and reminders in one place for a flat price per gym. See GymOS.

#What should gym management software in Ireland do?

It should cover the daily basics below in one system. Everything else is built on these.

  • Members: one profile per member with plan, payments, check-ins, programme and staff notes.
  • Plans: good gym membership software in Ireland handles monthly and annual memberships, PT packages, student and off-peak rates, trial passes, freezes.
  • Payments: recurring euro payments, part-payments, invoices and a clear record of what’s outstanding.
  • Retention: reminders before renewal and after a missed payment, plus a list of members who pay but don’t come.
  • Access: check-in at the desk or at the door, with access removed when a membership lapses.
  • Staff roles: coaches see their clients, the desk sees payments, only you see revenue.

The sector is bigger than many owners assume. Ireland Active, which represents over 450 leisure centres, gyms and pools, puts it at about €600 million a year and 12,000 jobs, with typical gym prices of €30 to €45 a month (Irish Examiner, October 2026). Other estimates are lower because they define the sector differently, but the price range matches what most independent gyms charge.

#Do Irish gyms charge VAT on memberships?

Yes, in most cases. Revenue says the provision of sporting facilities is taxable at the second reduced rate (Revenue), currently 9% (current VAT rates). Its Tax and Duty Manual names gymnasiums and leisure centres, and exempts facilities provided by qualifying non-profit bodies (Revenue manual).

That affects how you set your prices. A €45 membership that includes VAT at 9% is €41.28 net plus €3.72 VAT. Personal training and classes are not named in that guidance, so confirm their treatment with your accountant.

When you test software, check two things: whether you can enter prices VAT-inclusive, and how VAT appears on invoices. In Svich, invoices are sent automatically and every payment goes into a ledger. Ask in a demo how VAT would be shown on your invoices.

#Can gym software collect payments by SEPA direct debit?

Some can, but how it works varies a lot. If you collect monthly fees by SEPA Direct Debit, ask every vendor whether it’s built in, runs through a partner such as GoCardless, or is something you run yourself through your bank.

If you run it through your bank, the rules are set by the SEPA scheme. Bank of Ireland’s creditor guide says you need a SEPA Creditor ID, must notify customers at least 14 days before a collection unless agreed otherwise, and that customers can claim a refund within 8 weeks (Bank of Ireland, April 2023). That 8-week window is why your software must show failed or reversed payments clearly.

Svich records cash and card payments at the desk and supports instalments, dues calculated to a date and a full payment ledger. SEPA Direct Debit collection isn’t among Svich’s listed features, so ask about it in a demo if it’s how you collect.

#What does GDPR mean for gym member data, CCTV and fingerprint access?

You need a clear purpose and legal basis for each kind of data, and fingerprints need extra care. The Data Protection Commission’s CCTV guidance asks whether you have a clearly defined purpose and an Article 6 legal basis. It says footage should be kept no longer than necessary.

Fingerprints are biometric data. In a 2019 blog on app security, the DPC said biometric use must meet both Article 6 and Article 9 of the GDPR and should be optional, used alongside other reliable methods (DPC, August 2019). That blog isn’t about gyms, but the safe reading for door access is to offer another way in, such as a fob, a code or a desk check-in. A data protection impact assessment before you install readers is likely to be needed too.

Svich offers biometric door access as a paid add-on for GymOS. Readers follow each plan’s access setting, and access is removed from all readers automatically when a membership lapses past its grace period. More on the options in our gym check-in system guide.

#What does gym software cost for a small gym in Ireland?

Compare the yearly total, not the headline price: subscription, card or direct debit fees, app add-ons, door hardware and setup. Many vendors quote only after a call, so ask for written prices for your real member count.

● Example: 220-member gym in Galway
Monthly membership income
€9,900
220 × €45, VAT included
Ending in the next 30 days
18
€810 a month at stake
Svich Starter
$49
a month, up to 250 active members

Keeping 2 of those 18 members for one extra month is €90, more than the Starter plan costs in a month. Svich prices are in US dollars, so the euro cost moves with the exchange rate.

Svich charges per gym, not per staff member. Starter is $49 a month or $490 a year for up to 250 active members. Growth is $149 a month or $1,490 a year with unlimited members, advanced automation and custom dashboards. Every plan includes the member portal, a public gym page and enquiry forms, and you can start free without a card. If you run a PT studio rather than an open gym, read our guide to personal trainer software in Ireland.

#Which gym software do Irish gyms compare?

Irish owners usually look at three groups: Irish-founded platforms, international studio and gym platforms, and simpler flat-price tools. This is a starting list as of October 2026, not a ranking.

Group Examples Ask about
Irish-founded Glofox (founded in Dublin, owned by ABC Fitness since 2022), LegitFit (Cork) Contract length, app add-on cost, processing fees
International platforms Mindbody, ClubRight, Perfect Gym Euro billing, SEPA, where data is hosted
Flat price per gym Svich GymOS How you’ll collect recurring payments, VAT on invoices

#How does Svich GymOS handle renewals and quiet members?

GymOS sends four prebuilt reminders and shows you who is paying but not coming, so renewals don’t depend on someone remembering.

  • Before a membership ends: 10 days before by default, by email.
  • Missed payment: 3 days after the due date, by WhatsApp.
  • Birthday: on the day, by WhatsApp.
  • After a lapse: 14 days after, by WhatsApp.

Each rule has its own channel, send time and a live message preview, and WhatsApp messages go from your gym’s own number. In the attendance area, an “active but absent” list shows paying members who stopped attending. A revenue-at-risk card shows how much income is tied to memberships ending in the next 30 days and how much is already covered by a reminder.

Set the renewal reminder to 10 days before, write it the way you’d say it at the desk, and check the preview. Start free in GymOS and try it on your own plans.

#When Svich may not be the right fit for an Irish gym

Svich suits independent gyms and PT studios that want members, plans, payments and reminders in one system at a flat price. Ask about these points in a demo if they’re essential for you:

  • SEPA Direct Debit or automatic card debits: not among Svich’s listed features.
  • Billing in euro: multi-currency isn’t listed. Svich’s own pricing is in US dollars.
  • A branded app in the app stores: not listed; members use a mobile web portal.
  • GDPR documentation or EU hosting: not listed, so ask before you sign.

#Test-week checklist for gym software

● Test week, copy this
  1. Set up your real plans: monthly, annual, student, off-peak, PT pack.
  2. Import 20 real members from a CSV, including a few who owe money.
  3. Freeze one membership for 4 weeks. Does the end date move correctly?
  4. Record a part-payment and check the invoice and the ledger.
  5. Turn on the renewal reminder and read the preview as a member would.
  6. Log in as a coach. Can they see revenue? They shouldn’t.
  7. Ask the vendor in writing: VAT on invoices, SEPA, where data is stored, contract length.
  8. Have your desk staff add a new member with no help, and time it.

In GymOS the CSV import is under Settings → Data & Reports → Imports, and it suggests plans from your data. Staff roles (Owner, Manager, Trainer, Receptionist, Accountant) are set in Settings → Security & Access. For another small-market view, see our guide for gyms in New Zealand.

#Frequently asked questions

#What is the best gym management software in Ireland?

It depends on how you collect payments and whether you need a branded app. List what’s essential first, such as SEPA Direct Debit, euro billing and VAT on invoices, then test two or three tools with your real plans. For a flat price per gym, Svich GymOS starts at $49 a month.

#What VAT rate applies to gym memberships in Ireland?

Revenue says sporting facilities, which its guidance says include gymnasiums run commercially, are taxable at the second reduced rate, currently 9%. Facilities provided by qualifying non-profit bodies are exempt. Confirm the treatment of personal training and classes with your accountant.

#Can gyms in Ireland use fingerprint scanners for entry?

They can, but the Data Protection Commission has said biometric use must meet Articles 6 and 9 of the GDPR and should be optional. Offer another way in, such as a fob or desk check-in. A data protection impact assessment is likely to be needed first.

#How much does gym software cost for a small Irish gym?

Many vendors only quote on request, so ask for a written yearly total covering the subscription, payment fees, app add-ons and hardware. Svich costs $49 a month for up to 250 active members or $149 a month for unlimited members.

#Can I move my members from a spreadsheet to Svich?

Yes. Svich GymOS imports members from a CSV file under Settings, Data and Reports, Imports, and suggests plans based on the data.
