Personal trainer software in Ireland has to do three jobs well: sell and track PT packages, work out what each trainer is owed, and keep clients training between sessions with plans they can follow on their phone. For a PT studio or gym with a few trainers in Dublin, Cork, Galway or Limerick, that matters more than nutrition calculators or a long app-store feature list.

Running PT packages on a spreadsheet and workouts on WhatsApp? Svich GymOS keeps packages, trainer commissions and workout plans with exercise videos in one place. See how GymOS works for PT studios.

#What should personal training software do for an Irish PT business?

Good personal training software keeps the client, the money and the programme in one record. If those live in three places, something always slips: a client trains on an expired pack, a trainer is paid for sessions nobody sold, or a plan sits in a PDF nobody opens.

  • Client profiles with packages, payments, attendance, workouts and notes in one place.
  • PT packages sold next to gym memberships, with a balance that goes down as sessions are used.
  • Trainer commissions calculated from what was actually paid, not from a separate tally.
  • Workout plans built from templates, with exercise videos the client can open at home or on the gym floor.
  • Roles and permissions so trainers see their clients’ programmes without seeing the studio’s full revenue.
  • Reminders before a plan or package ends and when a payment is missed.

Health Club Management’s 2026 look at the Republic of Ireland estimated 450 to 500 fitness facilities and around 600,000 to 700,000 members, roughly 11 to 13% of the population, and described those figures as informed estimates rather than an audit (Health Club Management). With roughly one in eight people holding a membership, plenty of your new PT clients will be new to gyms altogether, and new trainees need more structure between sessions.

#Do you need a solo PT app or studio software?

It depends on how many trainers you have and whether clients also hold gym memberships. A solo online coach needs different tools from a studio with four trainers sharing a floor.

Your setup What matters most Type of tool
Solo trainer, mostly online coaching Programme delivery, check-ins, online payments, a client app Online coaching platforms built for one coach, such as PT Distinction or Trainerize
PT studio with 2 to 6 trainers, in person Packages, session balances, commissions, shared client records, roles Studio or gym software with a PT module
Gym with a PT floor Memberships and PT sold together, door access, renewals, trainer payouts Gym management software with PT packages

Svich GymOS is built for the second and third rows. If you are a solo online coach selling programmes to clients across Europe, an online coaching platform will likely fit better.

#How should you manage PT packages and session balances?

Sell packages with a fixed number of sessions and an expiry date, and keep the session balance on the client’s record, not in a trainer’s notebook. Expiry dates stop a client turning up nine months later with four sessions “left” at last year’s price.

A worked example for a three-trainer studio in Cork:

● One package, followed through (illustrative, not a GymOS screen)
10-session pack, 12-week expiry
€550
€55 per session
Paid in 2 instalments
€275 × 2
Second due at week 4
Trainer commission at 40%
€220
€110 per instalment received

7 of 10 sessions used at week 8. Time to talk about the next pack.

Two rules make this work. First, pay commission on money received, not money promised; if the second instalment is late, the trainer’s share waits with it. Second, start the “next pack” conversation at around session seven, not after the last one, so there is no gap week.

GymOS sells PT packages alongside memberships and trial passes, with instalments, freeze days and extensions. PT sessions are tracked in a custom module on the member’s profile, and trainer commissions are paid from the same payment ledger that member payments go into, so commissions and takings come from one set of numbers instead of two spreadsheets. Check in a demo how the commission rate and timing are set for your studio.

#How do workout plans with exercise videos help clients between sessions?

A plan with a video for each exercise means clients do the right movement on the days they train alone, instead of guessing or skipping it. Most PT clients see their trainer once or twice a week and train solo the rest of the time.

● How a plan moves in GymOS
Step 1

Step 2

Step 3

Step 4
Review consistency

In GymOS, a trainer builds a workout plan or a reusable custom workout template from the exercise library of 350+ workout videos, then assigns it to a member. The member opens it in the member portal on their phone, with the exercise video attached to each movement. The workout plan also sits in the Workouts tab of the member’s seven-tab profile, alongside their membership and payment details, and the member consistency grid shows how consistently each member is training. Read the GymOS workouts guide.

A practical tip: build three or four base templates (beginner full-body, two-day upper/lower, return-from-break, pre-wedding block) and adapt them per client. Writing every programme from scratch is where trainer evenings disappear.

#What GDPR rules apply to PT client health data in Ireland?

Health information you collect, such as a PAR-Q, injury history or medical notes, is “special category” personal data under GDPR, which needs extra care. The Health Research Board’s GDPR guidance lists “data concerning health” among the special categories (HRB), and the Data Protection Commission is the Irish regulator to check with.

You need a lawful basis plus an Article 9 condition, often explicit consent, to hold health data like a PAR-Q, so for most studios that means clear written consent at sign-up. In practical terms for a PT studio:

  • Collect only the health information you actually use to programme safely.
  • Limit who can see it. A receptionist does not need injury notes.
  • Don’t keep PAR-Qs in a shared WhatsApp group or a printed folder at the desk.
  • Ask any software vendor where client data is stored and what they can document. Svich does not list a data storage location or GDPR certification, so get that answer in writing during a demo if it matters to you.

GymOS helps with the access part: a permissions matrix under Settings → Security & Access has columns for Manager, Trainer, Receptionist and Accountant, so a trainer can work with client programmes while billing stays with the owner and accountant. This is general information, not legal advice.

#What does personal trainer software cost in Ireland?

Studio software like Svich costs roughly US$49 to US$149 a month, plus payment fees; per-trainer tools cost more as you hire. Expect pricing per trainer seat, per client band or per location. Add up the full cost before comparing:

  • The subscription, converted to euro, and whether it rises as you add trainers
  • Card or direct debit fees per transaction
  • Paid add-ons such as a branded app, SMS or door access
  • Setup or migration fees

Svich is priced per gym or studio, not per trainer, and in US dollars, so the euro amount moves with the exchange rate. Starter is US$49/month (or US$490/year) for up to 250 active members. Growth is US$149/month (or US$1,490/year) with unlimited members, advanced automation and custom dashboards. A four-trainer studio pays the same as a one-trainer studio on the same plan. You can start free with no card.

#When might Svich not be the right fit for your PT business?

Svich is not the right fit if you coach mainly online, or need set-and-rep logging, a native app or automatic direct debit.

  • You mainly coach online and need clients to pay for programmes online. Online-coaching payments are not a Svich feature.
  • You want clients to log every set and rep in an app. GymOS focuses on plans with exercise videos and consistency; Svich does not offer set-and-rep logging.
  • You need a branded app in the App Store or Google Play. Clients use the member portal in their phone’s browser.
  • You collect payments by automatic SEPA direct debit. Svich records payments, sends invoices and tracks dues to the date; automatic direct debit is not a listed feature.
  • You want built-in nutrition planning or AI-generated programmes. Neither is part of GymOS.

Svich suits in-person PT studios and gyms with a PT floor that want packages, commissions, memberships and workout plans in one system at a flat price.

#Checklist: questions to ask any PT software vendor

  1. Can I sell PT packages and gym memberships side by side, with instalments?
  2. Does the session balance go down automatically, and can packages expire?
  3. How are trainer commissions calculated, and from which payments?
  4. Can clients see their workout plan and exercise videos on their phone?
  5. Can I limit what each trainer sees?
  6. Is pricing per trainer, per client or per studio, and in which currency?
  7. Where is client data stored, and what can you document for GDPR?
  8. Can I import my current clients from a CSV file?

#Frequently asked questions

#What is the best personal trainer software in Ireland?

It depends on your setup. Solo online coaches usually suit coaching platforms with online payments and a client app, while in-person PT studios and gyms with several trainers need software that handles packages, commissions, memberships and workout plans together. Test two or three options with real clients.

#Can personal training software calculate trainer commissions?

Good studio software should. Svich GymOS pays trainer commissions from the same payment ledger that member and PT package payments go into, so commissions and takings come from the same records.

#Can clients see their workouts with exercise videos?

In Svich GymOS, yes. Trainers build plans from an exercise library of 350+ workout videos and assign them to a member, who follows the plan in the member portal with the exercise videos attached.

#Is a PAR-Q health data under GDPR?

Yes. Health information such as a PAR-Q or injury history is special category personal data under GDPR, so collect only what you need and limit who can see it. Check the Data Protection Commission’s guidance for your situation.

#How much does PT studio software cost in Ireland?

Pricing varies by trainer seats, client numbers, add-ons and payment fees. Svich costs US$49/month for up to 250 active members or US$149/month for unlimited members, priced per studio rather than per trainer, with a free start and no card required.
