Short on time? Summarise it with
CrossFit gym software has to run four things at once: a class timetable with hard caps (you only have so many racks and barbells), memberships and class packs, programming that members can see, and billing that doesn’t leak. The best CrossFit gym software for your box depends on one question more than any feature list: do your members book themselves on an app, or do your coaches run the register? Answer that first and the shortlist gets short quickly.
Running your box off a spreadsheet, a whiteboard photo and a payments app? Svich GymOS puts class slots, memberships, class packs and workout plans on one member record, at a flat price per gym. See how GymOS works for CrossFit and functional fitness.
#What does CrossFit gym software need to do?
Good CrossFit box software needs to cap every class at the equipment you have, sell both unlimited memberships and class packs, show members the programming, and collect money on time. Everything else, from leaderboards to TV displays, is a preference.
- Class capacity per slot. A 6am class with 12 barbells is a 12-person class, whatever the room could hold.
- Mixed pricing. Unlimited, 3x a week, 10-class packs, drop-ins and On-Ramp courses all live in the same member list.
- Booking rules. How far ahead people can book, how many open bookings one member can hold, and what a late cancel or no-show costs.
- Programming delivery. Members should see the day’s workout and how to do each movement, not a blurry photo of the whiteboard in a group chat.
- Billing and renewals. Failed or late payments chased automatically, and a clear view of who owes what.
- Coach access to attendance and programming, without revenue.
Fixed costs make this matter. CrossFit’s FAQ puts the annual affiliate fee at US$4,500, paid monthly, plus a one-time US$1,000 application fee (checked October 2026). Software should earn its place next to that.
#App-booked or coach-run: which kind of box are you?
If members book a 5:30am class from their phone the night before, you need self-booking, waitlists and a member app. If they come at the same times every week and coaches take the register, a staff-booked system costs less and does the job.
| Your box | What matters most | Type of software that fits |
|---|---|---|
| Members book on their phones, classes fill and run waitlists | Self-booking app, waitlists, card or ACH autopay, WOD results and leaderboards | CrossFit gym management software built for boxes (PushPress, Wodify and similar) |
| Regulars at fixed times, coaches run the register, some PT and open gym | Class caps, packs and memberships together, attendance, renewals, flat cost | General gym software with classes, such as Svich GymOS |
| Box inside a bigger gym with a weights floor and door access | One member list for floor and classes, door readers tied to plans | Gym software with classes plus access control |
Many owners pay for the first row when they run the second. If your Monday 6pm class has had the same 14 faces for a year, a booking app mostly adds a step between them and the barbell. If you want WOD scores and PRs, a tracking app such as SugarWOD or BTWB can sit alongside simpler management software.
#How should you set class capacity in a CrossFit box?
Set each class cap from the scarcest piece of kit used in a normal workout, usually barbells, rig spots or rowers, then plan your timetable from member visits per week. Never set it from the floor area.
A worked example for a 120-member box in Denver with three coaches:
Plan for 75% average fill: 6am and 5:30pm will be full, 10am won’t. Example figures; use your own attendance.
Thirty-five classes a week is about six a weekday plus five across the weekend. Run 25 and your peak classes overflow while members drift to midday slots, or to another box.
In GymOS, class slots sit on a week grid, each session shows booked against capacity, and coaches mark each member attended or absent when they close the class. The GymOS calendar and classes guide shows the screens.
#Which booking and no-show rules work for CrossFit classes?
Most boxes do well with a 12-hour free-cancel window, no-shows counted as a used class for pack holders, and three open bookings per member. Unlimited members need a different penalty, since “losing a class” means nothing to them.
Wording for your membership terms:
“Cancel up to 12 hours before class at no cost. Late cancels and no-shows use a class from your pack. Unlimited members who no-show three times in a month will be asked to book no more than two days ahead for the following month. You can hold up to three bookings at a time.”
In GymOS, booking rules are set per plan: how far ahead members can book, how many open bookings they can hold, and the free-cancellation window. Counting a no-show as a used class is on by default. Our no-show policy guide has more wording you can copy.
#How do you get programming to members without a whiteboard photo?
Give each member a plan they can open on their phone, with a video for every movement. The whiteboard works inside the box; it fails for a Sunday accessory session or a new member who has never kipped.
In GymOS, a coach builds a workout plan or a reusable template from an exercise library with 350+ workout videos, assigns it to a member with a start date, and the member follows it in the member portal with the exercise videos attached. The plan also sits in the Workouts tab of the 7-tab member profile, next to their membership and payments, and a consistency grid shows how regularly each member trains. Three uses that work well in a box:
- On-Ramp. A fixed three-week template for new members, so every coach teaches the same progressions.
- Accessory and mobility work for open gym or home days.
- Return after a break. A scaled template, cloned for one member.
To be clear: GymOS does not log WOD scores, run benchmark leaderboards or show workouts on a TV. More detail is in the GymOS workouts guide.
#How much does CrossFit gym software cost? PushPress and Wodify pricing compared
As of October 2026, expect $0 to about $500 a month in subscription fees, and card processing on a free plan can cost more than a paid plan. Always work out the total on your own monthly revenue.
| Software | Monthly price (Oct 2026) | Card processing | Est. total on $18,000/month revenue* |
|---|---|---|---|
| PushPress Free | $0 | 4.99% + $0.30 | About $934 |
| PushPress Pro | $159 | 2.89% + $0.30 | About $715 |
| Wodify Essentials | $199 list ($99 promo to Oct 31) | From 2.7% + $0.30 (varies by plan) | About $721 ($621 on promo) |
| Svich GymOS Starter | $49 (up to 250 active members) | Payments recorded in Svich; card autopay not built in | $49 + your separate card fees |
*120 members paying $150 a month by card, 120 transactions. Prices from each vendor’s pricing page in October 2026; check them yourself before deciding. Add-ons such as branded apps cost extra on most platforms.
Gymdesk’s October 2026 comparison (from a competing vendor) makes the same point: a 4.99% free plan on a $10,000-a-month box costs about $500 a month in fees.
Svich prices per gym, not per coach: Starter is $49/month ($490/year) for up to 250 active members, Growth is $149/month ($1,490/year) with unlimited members. Door access is an add-on. You can start free with no card and set up your class timetable before you decide.
#When might Svich GymOS not be the right fit for a CrossFit box?
GymOS is the wrong choice if your members expect to book classes themselves in an app, or if you need card or ACH autopay built in.
- Self-booking. Staff book members into sessions; self-booking and waitlists are not listed features.
- Autopay. Svich sends invoices and records payments; automatic card or bank debits are not listed.
- WOD culture. No score logging, benchmark leaderboards, timers or TV displays.
- Branded app. Members use a mobile-first portal in the browser, not an App Store app.
- Several locations. Multi-location is on custom Enterprise pricing, so test it in a demo.
GymOS fits coach-run boxes with regular training times that want memberships, packs, PT, workouts and door access in one ledger at a flat price.
#Checklist: how to test CrossFit gym software in one week
Run one real week through the trial before you migrate anyone.
- Build your full timetable with real caps for each class.
- Create unlimited, 3x-a-week, a 10-class pack and a drop-in.
- Import 30 members by CSV, including some mid-pack.
- Book a full 6am class, then cancel late and mark a no-show. Check the pack balance.
- Have a coach log in and check what they can and can’t see.
- Assign an On-Ramp plan and open it on a member’s phone.
- Record a payment, then check what the renewal reminder will say.
- Ask the vendor how a member would book at 10pm the night before.
That last question beats any demo script. See also booking rules that fill your classes and our 24 hour gym software guide.
#Frequently asked questions
#What is the best CrossFit gym software?
The best CrossFit gym software is the one that matches how your members book. Boxes where members book on their phones and track WOD scores usually suit CrossFit-focused platforms such as PushPress or Wodify. Boxes where coaches run the register and members train at fixed times can use general gym software with classes, packs and attendance at a lower cost.
#How much does CrossFit gym software cost?
As of October 2026, PushPress lists a free plan with 4.99% + $0.30 card processing and paid plans from $159 a month, Wodify lists Essentials at $199 a month with card processing from 2.7% + $0.30, and Svich GymOS starts at $49 a month per gym. Card processing fees often matter more than the subscription.
#What features does a CrossFit box need in software?
A CrossFit box needs class capacity per slot, unlimited memberships and class packs in one member list, booking and no-show rules, a way to deliver programming to members, attendance tracking, renewal reminders, and coach access that hides revenue.
#Does Svich GymOS work for CrossFit gyms?
Yes, for coach-run boxes. GymOS runs class slots on a week grid, sells class packs alongside monthly memberships, counts attendance, and delivers workout plans with exercise videos through the member portal. It does not offer member self-booking, waitlists, WOD score logging or leaderboards.
#How many people should be in a CrossFit class?
There is no official number. Set the cap from your scarcest equipment, usually barbells, rig spots or rowers, and from how many athletes one coach can watch safely, then add a second coach or a second class before you raise it.
