A gym membership renewal message works best as a short, personal reminder sent about 10 days before the membership ends, followed by one nudge on the last day and a friendly check-in about two weeks after it lapses. Each message should name the member, give the exact end date and make renewing a one-step reply. Below are copyable WhatsApp, SMS and email templates, the timing that works, and the mistakes that cost gyms renewals.
Still sending renewal reminders by hand from the front-desk phone? Svich GymOS sends them on a schedule you set and shows how much revenue from memberships ending in the next 30 days a reminder already covers. See how automatic reminders work.
#When should you send a gym membership renewal message?
Send the first renewal message 7 to 10 days before the end date, a short reminder on the last day, and a lapsed-member check-in around 14 days after expiry. Ten days gives members time to plan a payment without forgetting about it. In our experience, a reminder three weeks out gets forgotten, and one sent three days out reads like a demand.
Stop the sequence the moment the member renews or replies.
One exception: members on annual plans. Give them a heads-up 30 days out as well, because a yearly payment is a bigger decision and some will want to switch plans.
#What should a gym renewal message include?
Every renewal message needs five things: the member’s first name, the gym name, the plan, the exact end date, and one clear way to renew. Leave out anything else. Write it like a service message. Members ignore anything that reads like a sales pitch.
- First name and gym name in the first line, so it doesn’t look like spam.
- Plan and end date written out: “your 3-month plan ends on Friday 31 October”.
- One action: “reply YES”, “pay at the desk” or a payment link if you use one.
- A human sender: a coach’s or manager’s name beats “Team Admin”.
- An easy out: “If you’re taking a break, just tell us” gets you honest answers and fewer silent lapses.
#Gym membership renewal message templates for WhatsApp
A membership expiry reminder on WhatsApp works well because members read it and reply to it. Keep each message under about 300 characters. Copy these and change the bracketed parts.
Illustrative names. One question, one action, a real sender.
#10 days before expiry
“Hi [Name], it’s [Coach] from [Gym]. Your [plan] ends on [day, date]. Want to renew on the same plan? Reply YES and we’ll set it up, or let us know if you’d like to switch.”
#Last day
“Hi [Name], quick one: your [Gym] membership ends today. Reply YES to keep your access going from tomorrow, or pop by the desk. If you’re taking a break, no problem, just let us know.”
#Annual members, 30 days out
“Hi [Name], your yearly membership at [Gym] renews on [date]. Nothing to do yet. If you want to change plans or pay in instalments this time, reply here and [Manager] will sort it.”
#PT package running low
“Hi [Name], you’ve got 2 sessions left in your PT pack with [Trainer]. Want to book the next pack now so you keep your Tuesday 7am slot?”
#Member who might want a break
“Hi [Name], your plan at [Gym] ends on [date]. If the next few weeks are busy, you can freeze instead of cancelling. Reply FREEZE and we’ll pause it, or YES to renew as usual.”
#Regular who has been attending well
“Hi [Name], you’ve trained 26 times since you joined, which is great going. Your plan ends on [date]. Same again? Reply YES and we’ll renew it.”
#Gym membership renewal SMS and email samples
#SMS samples
SMS has to be shorter, ideally one 160-character segment, and should include your gym name and an opt-out. Three samples:
- “[Gym]: Hi [Name], your membership ends [date]. Reply YES to renew or visit the desk. Reply STOP to opt out.”
- “[Gym]: Last day of your plan, [Name]. Reply YES to keep training from tomorrow. STOP to opt out.”
- “[Gym]: We’ve missed you, [Name]. Want help getting back into a routine? Reply and [Coach] will call. STOP to opt out.”
#Renewal email template
Email suits annual plans, corporate memberships and members who prefer it. Subject line: Your [Gym] membership ends on [date]
Hi [Name],
Your [plan] at [Gym] ends on [date]. Since you joined you’ve checked in [X] times. To renew on the same plan, reply to this email or pay at the desk on your next visit. If you’d like to change plans, freeze for a few weeks or take a break, reply and tell us what suits you.
[Manager name], [Gym]
#What should you send after a membership lapses?
About two weeks after a lapse, send one message that asks a question instead of pushing an offer. People who lapse usually stopped coming weeks earlier, so a discount rarely fixes the reason they left.
“Hi [Name], it’s [Coach] at [Gym]. We noticed your membership ended a couple of weeks ago. Was it timing, cost or something about the gym? Honest answers help us, and if you want to come back we’ll build you a simple plan to restart.”
Log every reply. “Moved away” and “too expensive” need different follow-ups, and you’ll only spot a pattern if the answers are written down.
#Which mistakes make renewal messages fail?
The most common mistake is sending the same message to everyone at the same time. A member who trains four times a week and one who hasn’t been in for a month need different conversations.
- Leading with a discount. It trains members to wait for the deal.
- No end date. “Your membership is ending soon” creates no urgency.
- Sending WhatsApp messages when nobody is at the desk. If members reply YES, someone should be there within a few hours to confirm.
- Reminding absent members to renew. If they haven’t come in for three weeks, ask about that first.
- Nobody answering replies. A “YES” that sits unread for two days is a lost renewal.
- Not stopping the sequence. Reminding someone who renewed yesterday looks careless.
#Should renewal reminders go by WhatsApp, SMS or email?
Use the channel your members already reply on. For many gyms that is WhatsApp, with email for annual and corporate plans.
| Channel | Best for | Watch out for |
|---|---|---|
| Monthly and quarterly plans, quick YES replies | Members must have agreed to hear from you. Meta charges per delivered template message, by category and country (WhatsApp Business Platform pricing) | |
| SMS | Members who don’t use WhatsApp | Short length, per-message cost, opt-out wording |
| Annual plans, corporate members, receipts | Lower reply rates, spam folders |
One WhatsApp detail worth knowing: as of October 2026, Meta bills per delivered template message (the change took effect on 1 July 2025), and utility templates sent inside the 24-hour window after a member messages you are free. Keep your renewal templates factual, because a reminder written like a promotion can end up in a pricier category.
#How much is a better renewal routine worth?
For a small gym, a tighter renewal routine can be worth a few hundred dollars a month in revenue it keeps. An illustrative example: take a 220-member gym where about 40 memberships come up for renewal each month at an average of $45. If manual reminders get 24 of those 40 renewed (60%) and a scheduled sequence gets 30 (75%), that is 6 extra renewals a month, or $270 a month in revenue that would otherwise walk out, before counting the months those members stay afterwards. Your numbers will differ. Track renewals due, renewals made and replies each month.
#How does Svich GymOS automate renewal messages?
Svich GymOS has four prebuilt automations, each with its own channel and send time, which you can change:
- Before a membership ends: 10 days before expiry, by email at 10pm, on by default. If you’d rather use WhatsApp, switch the channel and move the send time to an hour when someone can answer replies.
- Missed payment: 3 days after the due date, by WhatsApp.
- Birthday: on the day, by WhatsApp.
- After a lapse: 14 days after, by WhatsApp.
There is no prebuilt last-day message, so send that one yourself: filter members by “ending soon” and message those who haven’t renewed. Svich GymOS sends by WhatsApp or email; it doesn’t send SMS.
You connect WhatsApp or email, preview each message and switch it on. An at-risk card shows how much revenue is tied to memberships ending in the next 30 days and how much a reminder already covers. An “active but absent” list shows paying members who have stopped coming, so the right people get a check-in instead of a renewal nudge, and follow-up tasks keep replies from getting lost. #Frequently asked questions
#How many days before expiry should a gym send a renewal reminder?
Send the first reminder 7 to 10 days before the membership ends, then a short reminder on the last day if the member hasn’t renewed. For annual plans, add a heads-up 30 days before.
#What should a gym membership renewal message say?
It should include the member’s first name, the gym name, the plan, the exact end date and one clear way to renew, such as replying YES. Signing it with a real person’s name makes it feel less like an automated blast.
#Is WhatsApp or SMS better for gym renewal reminders?
Use the channel members already reply on. WhatsApp is often better for quick replies and longer messages; SMS reaches members who don’t use WhatsApp but must be short and include an opt-out.
#Should I offer a discount in a renewal message?
Usually not in the first message. Leading with a discount trains members to wait for one. Keep offers for specific cases, such as an annual upgrade or a lapsed member who says cost was the reason.
#Can gym software send renewal reminders automatically?
Yes. Svich GymOS has prebuilt automations for before a membership ends, after a missed payment, on birthdays and after a lapse, each with its own channel and send time, plus a live preview before you switch them on.
