Calendar and classes

See classes, revenue, dues and renewals month by month, open any class session to see who's booked, and mark who turned up.

Calendar is a month-at-a-glance view of everything in GymOS that happens on a date: group classes, money coming in, payments falling due and memberships starting or ending. Open it from the sidebar.

Reading the month

Four switches above the grid show or hide each layer:

Layer What it puts on each day
Classes The class sessions scheduled that day
Revenue Payments collected, with the amount
Dues Payments falling due, with the amount outstanding
Subscriptions Memberships starting or ending

Move between months with the ‹ › arrows. Click a day for its full breakdown — the money in and out, and every session that day — and pick a session from there to open it.

It’s the quickest way to answer “what’s due this week?” or “how full are Saturday’s classes?” without opening Transactions or Subscriptions.

Opening a class session

Click any class on the calendar to open its details on the right:

  • the date, class name and time
  • the instructor and room, if the class has them
  • how many are booked, against the class’s capacity
  • a One-off tag if it’s an extra session rather than part of the regular timetable

Under that sits the session’s status and its Bookings — each member’s name and phone number, and whether they’re booked, attended or absent.

Classes are created from class-based plans. See Plans and payments for setting one up.

Booking a member into a class

Most bookings happen when you sell the member their plan. On the member’s profile, click Add subscription and choose a class-based plan; the form lists the plan’s upcoming sessions under Select sessions to book, so you can tick the ones they’re coming to. Plans that include every class book members in automatically.

To add one member to a single session, open the session and click Book. Cancel under a booking frees the spot again.

Booking rules — how far ahead members may book, how many open bookings they can hold, the free cancellation window — are set per plan.

After the class: marking attendance

  1. Open the session and click Mark done.
  2. Beside each booking, click for attended or for absent.

Whether a no-show still uses up one of the member’s classes is one of the plan’s booking rules, and it’s on by default.

If a class isn’t going ahead, open the session and click Cancel instead of Mark done.
